Job Description:
* Answer phones, respond to messages or forward as needed
* Maintain Vice President’s calendar
* Weekly filing and maintenance of all files (Charitable / Chambers / Dues & Subscriptions, etc.)
* Entry and maintenance of contribution and donation requests, HERO and CSR stats in database and Vocus
* Track HERO hours, Community Involvement and Winning Together activities and submit reports in concurrence with monthly deadlines
* Creation and distribution of monthly CRC and HERO Council meeting agendas and minutes
* Work with non-profit organizations to obtain specifics on sponsor benefits
* Maintain schedule of benefits, ads, banner placements, etc. to ensure all sponsorship benefits tied to charitable contributions or donations are maximized and fulfilled at least four weeks prior to any event.
* Compile and send out letters and packages for contributions and donations at least three weeks in advance of events
* Design and send e-vites at least two weeks prior to any event
Maintain and continually update Vice President’s contact/address lists, including all dignitaries/elected officials and community partners
* Support Community Relations and HERO Councils as directed
* Maintain Inventory of all product giveaways
* Retrieval and follow-up of contributions hot lines
* Scan all PR media impressions and create monthly summary of Community Involvement and Government Relations activities for PR Manager each month
* Maintain and update in timely manner all property BOH bulletin boards and other EE communication display areas at all three properties and regionally
* As needed, develop posters, brochures, banners and other collateral materials for use BOH, at employee events and for property distribution as needed, including layout & design and publish monthly in-house e-newsletters, weekly updates and other employee-based communications using design software
* Administrative support to Vice President and departmental staff
